| During a new employees' probation period it may become apparent they are not capable of the role or their conduct is not satisfactory and you want to dismiss them. This letter should be issued to the employee upon dismissal. If you wish to dismiss an employee via this route it is advised to do so at least one week before their probation period is due to end. |

To extend an employees' probation period there should be a valid reason. For example; there may be times when coming to the end of a new employees probation period you are still not convinced of their ability or conduct and may wish to extend the probationary period to assist you making the final decision. This Extension of Probation Period letter should be used in these circumstances. |

| When an employee is under performing and you have had held an initial meeting outside of the disciplinary process this letter can be used to confirm the meeting took place and the performance issues that were highlighted to the employee. A copy of this letter should also be placed in the employees' personnel file for future reference. |

It is good practice to inform employees that are 12 months away from the standard retirement age. The retirement notification letter does this and allows you to consider your options as an employer. |

| When a salary increase is awarded to an employee it is best practice to notify them in writing. A copy of the Salary Increaes letter should also be kept in their personnel file so you have a copy for your records. |

| When an employee reaches the end of their employment probation period successfully it is best practice to notify them as such. This may also bring a salary increase which will also require a record keeping. A copy of the successful completion of probation letter should be kept on the employee personnel file for future reference. |

| This letter can be given when a loyal employee has personal issues such as a seriously ill close relative, a member of the family has deceased or the employee themself is seriously ill. A sympathy letter from the company will offer support to the employee at a time when they need it the most. |
